What we are looking for

We are looking for a proactive and detail-oriented Office Admin & Travel Coordinator to join our team. This role supports both office operations and business travel coordination. Responsibilities include general administration, promoting workplace safety and ESG efforts, and managing employee travel logistics. The position requires strong organization, flexibility, and a service-oriented mindset to ensure smooth daily operations and travel experiences.

Responsibilities

Office Administration:

  • Conduct routine checks for office safety hazards and coordinate necessary corrective actions.
  • Organize safety training sessions, emergency drills, and promote awareness campaigns.
  • Coordinate monthly workplace health promotion and medical personnel visit arrangements.
  • Manage mobile contract renewals.
  • Handle name card applications for internal employees and newcomers.
  • Provide general administrative support as needed.
  • Greet visitors, answer incoming calls, and handle messages professionally.
  • Continuously update the phone list, hotel list, and attraction recommendations.
  • Submit purchase requests for general office supplies and coordinate with vendors.
  • Support the onboarding orientation for new employees and assist with safety-related tasks.
  • Assists arrange lunch box orders for internal meetings, visitors, and guests.
  • Assist in processing internal contract stamping and system procedures.
  • Assist with various company activities and employee engagement initiatives.
  • Assist in implementing and maintaining occupational safety and health (OSH) policies in compliance with local regulations.
  • Assist in ESG initiatives and foster a safe, healthy working environment across all site offices (Hsinchu, Taichung, Tainan, Kaohsiung).

Travel Coordinator:

  • Manage end-to-end travel arrangements for local employees on business trips and international colleagues visiting Taiwan.
  • Handle flight bookings, transportation, hotel reservations, and car rentals for outbound travel.
  • Assist inbound and outbound guests with hotel and transportation arrangements.
  • Actively follow up on all travel-related requests to ensure smooth execution.
  • Update and maintain the travel system.
  • Provide travel-related support for visa applications and required documentation.
  • Ensure compliance with company travel policies and budget constraints.
  • Prepare and process travel expense reports, ensuring timely and accurate submissions.
  • Maintain and track travel-related records and documents for audit purposes.
  • Coordinate emergency travel arrangements when necessary (e.g., flight cancellations, schedule changes).
  • Provide support for corporate travel insurance policies and assist with related claims if necessary.
  • Monitor current events and travel advisories for destinations. Advise employees of any safety precautions, travel warnings, or health-related concerns for their destination country.

Requirements

  • Previous experience in office administration & travel coordination is a plus.
  • Holding EHS-related certification or experience is a plus; familiarity with office EHS practices is highly valued.
  • Excellent communication and interpersonal skills.
  • Patient, detail-oriented, and passionate about providing excellent service.
  • Highly adaptable, cooperative, and flexible in handling changing priorities or tasks.
  • Able to work under pressure and handle frequent interruptions.
  • Detail-oriented with the ability to handle multiple tasks simultaneously.
  • Fluency in Mandarin and English is required; proficiency in additional languages is a plus.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
